What information we collect and why

When you contact us

If you use our contact form or email us, we collect the information you provide, such as your name, work email address, organisation, the service you are interested in and details of your enquiry.

We use this information to respond, discuss your requirements and, where appropriate, prepare a proposal. We may also process limited technical information to protect our forms from spam and misuse.

Our usual lawful basis is our legitimate interests in responding to enquiries and developing business relationships. Where we are taking steps towards a contract with you personally, we may also rely on steps taken before entering into a contract.

Submitting an enquiry does not sign you up to a marketing mailing list.

When you use our website

Our hosting and security services may process technical information such as your IP address, browser information, requested pages and the time of access. We use this information to operate, maintain and protect the website, on the basis of our legitimate interests in security and reliable service delivery.

If you agree to analytics cookies, we also use Google Analytics 4 to understand how visitors use the site. This may include the pages visited, the device or browser used, approximate location and how visitors arrived at the site. Google Analytics uses cookie identifiers to distinguish visits and browsers.

We use analytics only with your consent. You can change or withdraw that consent at any time using Cookie settings in the footer. Our cookie policy provides further details.

We do not currently use advertising cookies or embedded social media tracking on this website.

When you become a client or work with us

If we work together, we may hold business contact details, project correspondence, proposals, agreements, invoices and other information reasonably necessary to deliver our services and manage the relationship.

Depending on the information and circumstances, our lawful bases are:

  • Legitimate interests: managing business relationships, project delivery and communications with business contacts.
  • Contract: where processing is necessary for a contract with you as an individual.
  • Legal obligation: where we need to retain or use records to meet accounting, tax or other legal requirements.

Who we share information with

We do not sell personal information.

We use suppliers to help operate our website and business, including:

  • Microsoft: website hosting, email, communications and business services.
  • Google: website analytics, but only when you have accepted analytics cookies.
  • Professional advisers and service providers: such as accountants or legal advisers, where their involvement is necessary.

We may also disclose information where required by law or to establish, exercise or defend legal claims.

Some suppliers may process information outside the UK. Where international transfers are subject to UK data protection restrictions, we use the applicable adequacy arrangements or other legally recognised safeguards. You can contact us if you would like more information about the safeguards relevant to your information.

How long we keep information

We keep personal information only for as long as we need it for the purposes described above, subject to any legal obligations or legitimate need to preserve records.

Our current retention periods are:

Information Retention
Enquiries that do not lead to a project Up to 24 months after our last meaningful contact
Client and project information For the engagement, then as long as reasonably necessary for contractual, accounting or legal purposes
Invoices and records subject to accounting or tax requirements Normally six years, where applicable
Website server or security logs Normally 30 days
Google Analytics event-level data Up to 14 months, according to the property’s configured retention setting

These periods may be shorter where information is no longer needed, or longer where we are legally required to retain it or a dispute or claim makes that necessary.

Your rights

Depending on the circumstances, you may have the right to:

  • Ask for a copy of your personal information.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete information or restrict its use.
  • Object to processing based on legitimate interests.
  • Receive certain information in a portable format, where the right applies.
  • Withdraw your consent at any time where we rely on it, without affecting processing already carried out lawfully.

To exercise a right, email hello@onesizemedia.com. We will normally respond within one month, although the law permits extensions in some circumstances. We may ask for information to verify your identity where necessary.

Complaints

If you have concerns about how we have handled your personal information, you can complain to us at hello@onesizemedia.com or write to our registered office.

We will acknowledge a data protection complaint within 30 days, investigate it without undue delay, keep you informed where appropriate and explain the outcome.

You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113. You do not have to complain to us before contacting the ICO.
